ASOC Privacy Policy

What information does ASOC collect?

The personal information ASOC may collect consists of:

  • Name
  • Student ID numbers
  • Degree
  • Expected graduation year
  • University start year

Other information may be collected when you submit a form. For example:

  • Volunteering preferences
  • Dietary requirements

How does ASOC collect information?

The majority of information is collected when signing up on ASOC Forms.

Any information submitted via ASOC forms may be retained.

Why does ASOC collect personal information?

The primary purpose is to verify your membership status (full member or otherwise).

This is complimentary to most other purposes of information collection, which are as follows:

  • Send year specific information
  • Provide appropriate ticket price for ticketed events (e.g. Camp)
  • Assess subcommittee applications
  • Understand how we can better structure events for your benefit
  • Validate voting eligibility

Who can access the information provided?

Your privacy is important to us. As such we take steps to ensure it is protected.

Only current ASOC Executives have direct access to your information, and in certain instances previous executives may gain access for election purposes.

If other parties within ASOC require access to any information you have provided to us for the purpose of running events, access permission will first be reviewed by the Executive team. If access is granted, scope will be limited to the purpose of the task and be monitored by a relevant executive.

If you have answered “Yes” to “Do you allow ASOC to share your details with sponsors?”, we may share your year group. We will first consult you if any other information is shared. However whenever possible, ASOC uses information in a de-identified form. This setting can be changed any time on the forms website (http://forms.asoc.unsw.edu.au/settings).
